Merchant Checklist

Please be sure to include all items listed below when returning you merchant packet to the Merchant Stewards. Failure to include any of these items will result in the packet being returned to you and admittance denied. Please note all forms must be filled out completely and submitted by deadline date.

  1. Your signed copy of the email you received when you completed the online GWW XIV Merchant Registration Form -- OR -- a signed and completed copy of the PDF version or Word version

  2. Your signed GWW XIV Merchant Agreement.

  3. Your check or money order in U.S. dollars for all merchant fees. Please make checks payable to: "S.C.A., Inc. / Kingdom of Caid". Partial payments, cash, or credit cards will NOT be accepted.

  4. A copy of your California Seller’s Permit. You will find information and the application forms at:

  5. Food Merchants are responsible for the Environmental Health Temporary Food Permit from Kern County. You will find information and the application forms at:

  6. Proof of SCA membership for booth owner and any family or staff member(s), paying the member adult admission price. If registering as a non-member, be sure to add in the non-member surcharge of $5 per non-member.

  7. Your GWW XIV Pre-Registration Form for you and ALL in your party. If any member of your party has not sent in the Gate Pre-Registration form and payment, they will not be allowed on site until Wednesday when the general populace registration opens. NO Exceptions.
  8. Standard Gate Pre-registration and Land Allocation will be open from:

    April 1, 2011 through August 31, 2011.


  9. Liability release forms (WAIVERS) for you and ALL in your party (including children). Two copies of the NOTARIZED Children's Waiver must be with you for each child not your own. Keep it available at all times.

  10. Pictures of your booth and merchandise; only digital forms accepted.

  11. Your self-addressed stamped post card, if you would like a confirmation that your packet was received. There are a limited number of selling spaces that will be filled first-come, first-served. The Steward’s receipt of your merchant packets as well as date of receipt does not guarantee a selling place.
